One of the biggest struggles I hear from coaches is, "I run out of things to say to recruits." Whether it's emails, texts, DMs, or even social media posts, at some point, many coaches hit a wall.
I used to feel the same way—until it hit me.
Recruits ask the same questions year after year.
Why was I making this so hard?
There was a simple solution staring me right in the face—one of the first breakthroughs I ever had when trying to become a more efficient recruiter.
I realized that my best content was already hiding in the questions recruits were asking me.
Once I recognized that, I built a system that ensured I was never scrambling for what to say next. And today, I want to share that system with you.
The Process for Never Running Out of Content
Instead of racking your brain for what to say, start doing this:
1. Keep a Running List of Every Question a Recruit Asks You.
Whether it’s about your program, school, team culture, training, or scholarships—write it down.
The easiest way to ensure you always have content is to document the real conversations you're already having.
2. Record Your Answer as If You're Talking Directly to the Recruit.
Open up Otter.ai or any voice-to-text tool and speak your response naturally. Imagine you're on the phone with a recruit, explaining things just like you normally would.
This captures your authentic tone and makes the process faster than sitting down to type out every answer from scratch.
3. Turn That Answer Into an Email.
Once transcribed, refine it into a well-thought-out email that you can proactively send to recruits before they even think to ask.
This builds trust, keeps conversations moving forward, and makes your recruiting more efficient.
4. Store the Response in an FAQ for Your Staff.
If one recruit asks, odds are others—and your assistants—will need the same answer.
By saving your best responses in an internal FAQ document, you speed up how quickly and effectively your staff can respond.
No more back-and-forth guessing games. Your assistants can now recruit the way you want them to.
5. Repurpose the Question Into a Social Media Post.
If one recruit is asking, many others are wondering the same thing. Take that same question and answer and turn it into:
- A tweet or Instagram caption
- A quick video post (you can even read your answer on camera)
- A graphic or carousel post with key points
- A behind-the-scenes story of how your program handles that topic
